Wedding Show Vendor Tips: Behind the Booth | Luxco Photos

wedding show vendor tips booth setup featuring Luxco Photos display with couch and arch at the Today’s Bride Show

Now that I have wrapped up another Today’s Bride show and finally had a chance to breathe (and maybe reclaim my couch for a moment), I figured it was the perfect time to share some real wedding show vendor tips and give you a behind-the-scenes look at what these expos are actually like from the vendor side. Most people see the styled booths, the excited couples, and the sparkle of the day. What they do not see is everything that happens long before the doors open and long after the crowds head home.

If you have ever wondered what it really takes to prep for and work a wedding show, here is the walkthrough. You will find the intentional parts, the funny moments, and the things I have learned along the way.

These wedding show vendor tips will walk you through what really happens behind the booth, long before the doors open and long after the crowds head home.

Wedding Show Vendor Tips: When Everything Comes Alive

Before anything physical happens, everything starts with intention. Before I sketch out a booth layout or choose which prints to bring, I always ask myself one grounding question:
What do I want this show to do for my business?

Some shows are about booking consult calls.
Some are about highlighting updated collections.
Some are simply about meeting couples in person and letting them get a feel for who I am behind the camera.

Once I know the reason for attending, the rest becomes much more focused.

Then comes the behind-the-scenes prep work. This includes:

  • registering for the show
  • prepping print displays
  • submitting materials for the Pink Bag Program
  • updating or ordering signage
  • restocking cards
  • confirming rentals
  • making sure every detail supports the Luxco Photos brand

None of this feels frantic. It is simply thoughtful work that helps create a booth that feels warm, welcoming, and true to my style.

When I design my booth, I treat it like a tiny storefront. I always ask myself how I want someone to feel if they know nothing about me and simply walk by. My goal is always the same: warm, real, calm, inviting, and very rooted in storytelling.

These early stages are where so many of the best wedding show vendor tips actually come from. The quiet preparation shapes everything that happens on show day.

Move-In: The Quiet Before the Storm

Move-in day always has a peaceful but productive energy. Vendors arrive with carts and wagons, softly chatting while getting their spaces ready for the transformation ahead.

This year, my move-in was definitely ambitious. Along with my usual wagon of framed prints and signage, I brought:

  • a full couch
  • a handmade wedding arch from one of my couples
  • a booth carpet that I somehow stuffed inside a suitcase

These are not items that one person can carry alone. Move-in quickly becomes a team effort, and honestly, that is one of the parts I love most. The friends and family who show up to help instantly understand the assignment. They carry the heavier pieces, maneuver awkward items through doors, and laugh with me as we try to remember how everything managed to fit into my car in the first place.

Here are a few truths from this move-in:

  • The suitcase carpet situation was chaotic.
  • The couch required both strategy and patience.
  • We laughed through the entire process.

Once everything is finally inside, the energy softens and the calm part begins. I start unpacking, placing prints, adjusting layouts, setting the couch just right, and positioning the arch so it frames the booth intentionally. Little by little, the space turns into a small slice of Luxco Photos.

When the booth is complete, I always take one quiet moment to stand back and soak it in. Move-in is done, the room is peaceful, and the anticipation for the next day starts to build.

And honestly, it is not just about setting up my own booth. It is the conversations with vendor friends, the quick moments of offering a hand, and the sense of community that makes these shows feel like more than events. They feel like home.

Show Day: When Everything Comes Alive

Show mornings begin early. Vendors arrive ahead of time to straighten displays, refill water bottles, and add the final touches. By the time the doors open at 11, the aisles fill almost instantly, and the room shifts into a warm and excited buzz.

Behind the booth, the day feels like this:

  • couples who are genuinely curious
  • newly engaged joy that fills the room
  • laughter and stories being shared
  • quiet moments where someone says, “This photo looks like us”
  • little pauses to breathe and take it all in

The energy is infectious. DJs like Sound Precision Entertainment bring life to the room with music and excitement. Cuff Link Media draws couples in with their visuals. Everyone feeds off each other’s passion. It is one of my favorite parts of the entire experience, being surrounded by people who love what they do just as much as I do.

I never stand behind my table. I stand with people. I want couples to feel comfortable approaching, asking questions, and sharing a bit of their story. This part is my favorite. It is not about selling or pitching. It is about connecting, human to human.

If there is one thing all of these wedding show vendor tips circle back to, it is this: connection will always matter more than perfection.

After the Show: The Follow-Up (Also Known as the Heart Work)

When the doors close and tear-down begins, the venue slowly returns to its quiet baseline. This is when the heart work begins.

I go through my leads, send thank-you messages, and check in with the couples who had meaningful conversations with me. I remember their venues, their colors, and the way they described their day. Follow-up is not about pressure. It is simply continuing a conversation that began in a busy, joyful space.

Every wedding show feels like a whirlwind. Part marathon, part reunion, part celebration of everything couples hope for their day.

I love these events. I love getting to show who I am, how I work, and what the Luxco Photos experience feels like in person.

If we met this weekend, thank you. Truly. Whether you stopped to chat, flipped through my prints, or simply wandered by with a smile, I am grateful you were part of the day.

And if you could not make it to this show, I will be at the Today’s Bride Wedding Show on March 8th, 2025 at the John S. Knight Center in Akron. I will be there with coffee in hand, warm energy ready, and excited to meet even more couples and vendors.
